What are my responsibilities as an Evolutionary Tutor? ✨

Your success as an Evolutionary Tutor is based on how well you carry out these key responsibilities

1. I keep my availability up to date on TutorCruncher 📅

We will recommend you as a tutor for new students based on your availability on TutorCruncher. Therefore it's important for you to regularly update your availability to indicate what time slots you are available to take on new students during the week.

  • To be eligible for new students you must have at least 4 hours available for tutoring each week.
  • To log your available timeslots on TutorCruncher, follow these simple steps
  • Please update your availability at the start of each semester based on your timetable.

2. I respond to texts about new students within 24 hours 🙋

Each day we receive a number of tutor requests, some with students looking to start right away. Responsiveness is key to the service we provide - this means responding promptly to each and every tutor request that comes through. If we take too long to get back to students, they will look elsewhere for tutoring services, meaning they miss out on being tutored by you! Therefore, its really important that you reply promptly to our texts about new students.

When we ask if you're available to take on a new student - send us a reply in 24 hours. Here are some template responses:

  • I'm available to take on this student;
  • I'm available to take on this student, but can only start lessons from [date]; or
  • I'm not available to take on any new students at the moment.

3. I call the parent and complete the First Call Questionnaire 📞

Once you agree to tutor a new student, they will set up their payment details and we will ask you to contact the parent to complete the First Call Questionnaire in the next 24 hours. This questionnaire should take about 10 minutes to run through. Once you've finished, send us a text to let us know you've been in touch. Here's a template message:

  • I contacted [parent], completed the First Call Questionnaire and organised a first lesson with [student] on [day] at [time]. I have logged this lesson on TutorCruncher.

4. If I can't get through to the parent, I follow the "call then text" protocol 📱

If you try calling the parent and there's no answer, then leave them a text. Here's an example:

  • "Hi Maria, it’s Natalie from Evolutionary Tutors, Lucy’s new Maths tutor. Before we get started on lessons, I’d love to have a quick call to introduce myself and ask you a few questions so that I can best support Lucy towards her goals. When would be a good time for you?"

Then send Natalie a message to confirm you have followed the protocol: 

  • "I called Maria and she didn't pick up so have left her a text. I'll get back to you when Jack replies."

6. I complete the First Lesson Questionnaire in my first lesson🎓

Start your first lesson off by completing your First Lesson Questionnaire. This questionnaire should take about 15 minutes to run through. Once you've finished, click Submit, and you'll receive a copy via email. We'll also a notification that you've completed this questionnaire. 7. I log my lessons on TutorCruncher and mark them as "complete" to be paid 💰

When you are allocated a new student you will be assigned to a new "job" on TutorCruncher. Once you speak to the parent and the time of your first lesson has been confirmed, make sure to log this lesson on TutorCruncher under the relevant "job". The parent / student will receive an automatic email reminder a few days before the lesson you have logged on TutorCruncher.

You will be paid each week for any lessons that you have marked as "complete" on TutorCruncher in the previous week.

  • We issue our invoices to parents and payment orders to our tutors based on the lessons you mark as "complete".
  • Marking a lesson as "complete" means that you are confirming that the lesson took place as you have described it.
  • If the lesson you had planned differs from the lesson that ends up taking place (e.g. the actual lesson went for longer than the planned lesson), you can edit the lesson before marking it as "complete".

8. I complete lesson reports to track my student's progress and keep the parent in the loop✍️

Before you mark as lesson as "complete", you'll be prompted to write a brief lesson report which will include: 

  • What you covered in your lesson
  • Your plan for your next lesson
  • Any progress your student has made

This report will be sent to the parent with their invoice each week.

9. I ask for a Google Reviews to build my online profile and get BONUSES! 🤩

Google Reviews are one of the most effective way for us to reach other students and parents looking for tutoring services, which then means we have more students to allocate to you!

Once you have had 5 or more lessons with your student, this is a great time to ask for a Google Review. For each student that leaves you a:

  • Google star rating only you will earn a $10 bonus; and
  • Google star rating and a written review, you will earn a $15 bonus.

Asking your students for Google Reviews is also a way for you to build your online profile as any reviews that your students provide will be linked to your Evolutionary Tutors profile on our website. We have found that tutors with Google Reviews linked to their profile consistently get requested more by parents and students.

Example messages to request Google Reviews

  • For a parent: "Hi [parent], I hope [student] has been enjoying our lessons and is [starting to see / already seeing] some real improvements! If you're happy with how I have been running lessons so far, can I ask you for a favour? Evolutionary Tutors is a small business that continues to grow because of the support of parents like you. Therefore I'd be really grateful if you could take a minute to leave us a Google star rating and review via this link: https://g.page/r/CbbMFW1da7vsEAg/review. Your feedback is invaluable and the best way for Evolutionary Tutors to reach other students and parents looking for tutoring services!"
  • For a student: "Hi [student], hope you have been enjoying our lessons and are [starting to see / already seeing] some real improvements! If you have been happy with our lessons so far, can I ask you for a favour? Evolutionary Tutors is a small business that continues to grow because of the support of students like you, so I'd be really grateful if you could take a minute to leave us a Google star rating and review via this link: https://g.page/r/CbbMFW1da7vsEAg/review.
